StafF Summarv At the September 12th, 2007 meeting the City Council approved an agreement with Cross to purchase and install an Avaya phone system. We explained that this system would allow for a Voice over Internet Protocol (VoIP) system, providing greater functionality, reliability and potential to expand. Phase 1(Police Department) was implemented within the 60 day contract requirement to meet the Police Department's operational needs. (The system has been operational for about a month, without any major concerns). Because the Police network was being implemented at the same time as the phone system, we were able to appropriately assess the additional network requirements and incorporate them into the system we installed at the Police Department. K-12) CONSENT AGENDA Issue Purchase Order to CDW Government, Inc. Analvsis: In preparation for Phase finro (City Hall and the Parks facilities) and Phase three (Public Works) of the Avaya phone system implementation, we asked BearingPoint (our IT consultants) to conduct an assessment of the existing network infrastructure for City Hall and Cloverleaf Park. As a result of this assessment BearingPoint has recommended that we upgrade our existing nefinrork infrastructure to support the new phone system implementation providing for redundancy and enhanced reliability and functionality. The upgrade in routers, switches, servers, cables, UPS devices, etc will accommodate the data, as well as the phone nefinrork. The total cost for the recommended equipment is $194,000 and is in accordance with the State of Florida pre-negotiated contract for CISCO networking equipment. As the purchase of the Avaya phone system has already been approved by Council, and the completion of the installation is pending the nefinrork upgrade, we request approval to purchase the equipment recommended by BearingPoint. Recommendation: We recommend Council approval to issue to purchase for $194,000 to CDW-G (under the State of Florida pre-negotiated contract) for network equipment to upgrade our Information System infrastructure. RESOLUTION No. 2007- A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF MIAMI GARDENS, FLORIDA, AUTHORIZING THE CITY MANAGER TO ISSUE A PURCHASE ORDER IN AN AMOUNT NOT TO EXCEED $194,000.00, TO CDW GOVERNMENT, INC., IN ACCORDANCE WITH THAT CERTAIN STATE OF FLORIDA CONTRACT NO. 250-000-03-1; PROVIDING FOR THE ADOPTION OF REPRESENTATIONS; PROVIDING AN EFFECTIVE DATE. 1 WHEREAS, on September 12, 2007, the City Council approved an Agreement 2 with Cross Telecom Corporation for the purchase and installation of an Avaya telephone 3 system, and 4 WHEREAS, in Phase I, the Police Department was implemented and the system 5 Is been operational, and 6 WHEREAS, it is now necessary for the City to add Phase II (City Hall and the 7 Parks facilities) as well as Phase III (Public Works facilities) into the system, and 8 WHEREAS, the City's IT consultant, Bearing Point, has suggested, that the City 9 needs to upgrade its existing network infrastructure to support the new telephone 10 system, and 11 WHEREAS, City staff is recommending that the City Council rely upon that 12 certain State of Florida Contract No. 250-000-03-1 to purchase the upgraded system 13 from CDW GOVERNMENT, Inc., in an amount not to exceed $194,000.00 14 NOW THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY 15 OF MIAMI GARDENS, FLORIDA, AS FOLLOWS: 16 Section 1. ADOPTION OF REPRESENTATIONS: The foregoing Whereas 17 paragraphs are hereby ratified and confirmed as being true, and the same are hereby 18 made a specific part of this Resolution. 19 Section 2. AWARD OF BID: The City Council of the City of Miami Gardens 20 hereby awards a bid to CDW GOVERNMENT, Inc., in an amount not to exceed 21 $194,000.00 for an upgraded telephone system, in accordance with that certain State of 22 Florida Bid No. 250-000-03-1. 23 Section 3. AUTHORIZATION: The City Manager is hereby authorized to issue 24 a purchase order in an amount not to exceed $194,000.00 to CDW-G, Inc. 25 Section 4.
