FOR THE EQUIPMENT ACQUISITION, INSTALLATION AND PROFESSIONAL SERVICES TO CONSOLIDATE THE CITY'S PHONE SYSTEMS INTO A SINGLE MODULE SYSTEM (DETAILED IN QUOTES 22SLE1039 & 22FL1058) FOR AN AMOUNT HUNDRED TWO FIFTYTO NOT EXCEED -ONE THOUSAND SIX HUNDRED NINE DOLLARS AND ELEVEN CENTS ($251,609.11) BY RELYING ON THE AVAYA INC. AND NATIONAL COOPERATIVE PURCHASING ALLIANCE #14, SOFTWARE AND SAAS SOLUTIONS #39-20 AGREEMENT; PROVIDING FOR THE ADOPTION OF REPRESENTATIONS; PROVIDING AN EFFECTIVE DATE. WHEREAS, in 2012, the Information Technology Department purchased Avaya Phone Systems equipment to be used by the Police Department and was later expanded for use by facilities including Public Works, Betty T. Ferguson, Bunche Park and the Senior Family Center, and WHEREAS, the equipment has since reached end of life and is no longer supported, and WHEREAS, the City is now required to upgrade this equipment with newer models that will be supported, and WHEREAS, in 2015, the Information Technology Department purchased Cisco Phone Systems equipment to be used by the City Hall, WHEREAS, currently the City Hall Complex is the only building that uses Cisco Phone System, WHEREAS, renewtoseeks Department the TechnologyInformational (IT) services with Avaya Phones System to include issuing a purchase order to replace existing equipment, adding additional equipment and professional services to extend the system to City Hall and have a single module system, and WHEREAS, pursuant to City of Miami Gardens, Procurement Code Section 2-757, the City may enter into competitively solicited contracts, and WHEREAS, Avaya Inc., pursuant to solicitation and a procurement process entered into an Agreement with National Cooperative Purchasing Alliance (NCPA) for the purchase of Software and SaaS Solutions, herein attached as Exhibit ā€œCā€, and DocuSign Envelope ID: 2AA6D3A1-76B6-4457-B345-9A8C5140CA8B WHEREAS, staff is requesting approval to issue a purchase order to vendor Avaya Inc., to replace existing equipment, add additional equipment and for professional services to extend this system to City Hall, in the amount not to exceed Two Hundred Fifty-One Thousand Six Hundred Nine Dollars and Eleven Cents ($251,609.11) by relying on the Avaya Inc. and National Cooperative Purchasing Alliance #14, Software and SAAS Solutions #39-20 Agreement, and WHEREAS, funding has been approved as ARPA Infrastructure Improvement from Account # 102-19-01-519-630-02, and Whereas, City Staff recommends the City Council authorize the City Manager to issue a purchase order to Avaya Inc. for the equipment acquisition, installation and for professional services to consolidate the city's phone systems into a single module system (detailed in quotes 22sle1039 & 22fl1058) for an amount not to exceed Two Hundred Fifty-One Thousand Six Hundred Nine Dollars and Eleven Cents ($251,609.11) by relying on the Avaya Inc. and National Cooperative Purchasing Alliance #14, Software and SAAS Solutions #39-20 Agreement, NOW THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF MIAMI GARDENS, FLORIDA AS FOLLOWS: Section 1: ADOPTION OF REPRESENTATIONS: The foregoing Whereas paragraphs are hereby ratified and confirmed as being true, and the same are hereby made a specific part of this Resolution. Section 2: AUTHORIZATION: The City Council of the City of Miami Gardens hereby authorizes the City Manager to issue a purchase order to Avaya Inc. for the equipment acquisition, installation and for professional services to consolidate the city's phone systems into a single module system (detailed in quotes 22sle1039 & 22fl1058) for an amount not to exceed Two Hundred Fifty-One Thousand Six Hundred Nine Dollars and Eleven Cents ($251,609.11) by relying on the Avaya Inc. and National Cooperative Purchasing Alliance #14, Software and SAAS Solutions #39-20 Agreement. Section 3: EFFECTIVE DATE: This Resolution shall take effect immediately upon its final passage.
