Required: (Enter X in box) Yes No RFP/RFQ/Bid #: Florida Sheriffs’ Association X Bid No. 09170908 Sponsor Name City Manager Danny Crew Department: Public Works Department Short Title: A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF MIAMI GARDENS, FLORIDA, AUTHORIZING THE CITY MANAGER TO TAKE ANY AND ALL STEPS NECESSARY TO ISSUE A PURCHASE ORDER TO RING POWER CORPORATION IN THE AMOUNT OF ONE HUNDRED FIFTY TWO THOUSAND FIVE HUNDRED SEVENTY-NINE DOLLARS AND 34/100 ($152,579.34) FOR THE PURCHASE OF TWO (2) 2010 CATERPILLAR 416E BACKHOE LOADERS; PROVIDING FOR THE ADOPTION OF REPRESENTATIONS; PROVIDING AN EFFECTIVE DATE Staff Summary: In order to maintain a high level of efficiency and provide quality services, Public Works finds it necessary to replace the existing JCB and Terex Backhoe Loader. The JCB loader was purchased as a used piece of equipment approximately five years ago. It is consistently out of service requiring repairs. Due to the age of the loader, 1996, replacement parts are difficult to locate and the only shop that reapirs this type of equipment requires towing to and from the repair facility. The Terex was purchased in 2005. This backhoe loader has been out of service for extended periods of time, it is expensive to repair, and we have to transport the equipment to Fort Pierce to obtain service. It is currently being repaired at a cost of $9,000 due to a broken engine flywheel. In addition, the parts come from Italy which further delays the repair process. ITEM J-13) CONSENT AGENDA RESOLUTION P.O. to Ring Power Corporation 1515 NW 167 Street, Building 5 Suite 200 Miami Gardens, Florida 33169 The cost benefit to replacing both units will (1) reduce down time, (2) reduce the cost rent replacement equipment while the units are being repaired, and (3) reduced the annual cost associated with repairing this unit since the new units will have an extended warranty plans. The Florida Sheriffs’ Association competitively bid for various construction equipment with options and awarded to the lowest, responsive responsible vendors in each region of the State. Ring Power Corporation, located in Riverview, Florida, was awarded the bid for the Caterpillar 416E Backhoe Loader in the southern region. The Florida Sheriffs’ bid allows for additional options not listed at a reduction of 33.85%. Copy of the award announcement is attached as Exhibit “A”. Funding for the purchase of this replacement equipment is through the 2009 Equipment Bond. The new equipment will be serviced locally, which will result in savings in towing charges. Proposed Action: It is recommended that City Council approve the attached resolution authorizing the issuance of a purchase order to Ring Power Corporation, located in Riverview, Florida, in an amount of $152,579.34 for the purchase of two 2010 Caterpillar 416E Backhoe Loaders which includes the cab and plates and extended warranties, to replace the exisiting equipment.
